Chapter Checklist

The New York State School Facilities Association currently comprises 18 local chapters located geographically throughout the state. The relationship between the State Association and Chapters are governed by charters. Signed charters are on file at the State Association headquarters. View a Sample Charter for your information.

What follows is a chapter checklist of actions each chapter must take throughout the year.

JANUARY

  • State Legislature typically commences the first Wednesday after the first Monday of the new year
  • Promote Advocacy Day. Respond to calls for action. Stay involved!
  • The NY governor typically releases their executive budget proposal by mid-January, or by February 1st in a gubernatorial election year

FEBRUARY

  • Attend legislative briefings offered by the Association on the proposed NYS Budget and its impact on public schools
  • Gather local chapter member support for March Advocacy Day

MARCH

  • Annual Advocacy Day. Chapter Presidents sign up chapter members
  • School Facilities Mangers’ Spring Academy (SFMA)  

APRIL/MAY

  • Leadership Weekend for Officers, State Directors, Chapter Presidents, SFMI Board and Committee Chairs; all Chapters must be represented
  • Requests for certificates of insurance for workshops
  • Third Vice President candidate nominations are DUE by no later than May 31
  • Conference promotion begins in May, registration materials available
  • State Dues collection begins. (REMINDER: All chapter members must first be a member of the State Association)
  • Local Chapter elections take place for start of July 1 new fiscal year)

AUGUST

  • Chapter Financial Reports due to the State Association by August 31

SEPTEMBER

  • Provide the State Officer with dates, locations, and times of Chapter events for State website
  • State Director representation firmly in place by Fall Conference

OCTOBER

  • Annual Conference (SFA Board meets/SFA Chapter Presidents meet)

DECEMBER

  • School Facilities Mangers’ Winter Academy (SFMA)

Elections

Election of Chapter officers takes place by the end of May of each year to align with the state requirements. Elections for Chapter representation on the state Board of Directors must be in place by the Fall Conference. State Directors serve for a term of three years. Election cycle is noted below.

Chapter Elections

Pursuant to State Association bylaws and its policy and procedures manual, please note:

Chapter President:

I. May serve for a term of one or two years to be decided by members.

II. The President is required to attend the annual leadership weekend determined by the Board of Directors. Housing and mileage are paid by the Association.

Chapter Vice President:

III. Serves in absence of President and assists with duties.

Chapter Secretary/Treasurer:

IV. Responsible for collecting of local chapter dues and fiscal activity related to prudent governance of Chapter.

V.  Responsibilities include filing annual fiscal reports requested by central office for tax reporting.

STATE DIRECTOR TERMS

State Directors are elected representatives from each local Chapter. State Directors shall serve a term of three years and may be elected for more than one term. Vacancies in the position of State Director shall be filled by vote of the local Chapter. State Directors must have served as a Chapter officer or chairperson of a State Association committee. The Board member is required to attend meetings held at the annual conference, leadership weekend and virtually throughout the year.

THIRD VICE PRESIDENT & TREASURER ELECTIONS

According to the State Association bylaws, the Third Vice President and Treasurer shall be elected by a majority vote of the membership at the annual conference. Nominations for the position of Third Vice President and Treasurer must be submitted in writing to the State Nominating Committee no later than May 31 each year. Service as a State Director for a minimum of one year and/or President of a local Chapter who attended at least one leadership conference are prerequisites to serve as an officer.
